Terms and Conditions

  1. General

1.1 These Terms and Conditions ("Terms") govern the use of Playbox Courts facilities and the booking platform at playboxcourts.com. By creating an account, making a booking, or entering the facility, you agree to be bound by these Terms in full.

1.2 Playbox Courts is operated by Playbox Courts OOD, UIC 208347229, registered address: 30 Pesthersko Shosse Blvd., Plovdiv, Republic of Bulgaria. Contact: info@playboxcourts.com | +359 89 389 0633.

1.3 These Terms are governed by the laws of the Republic of Bulgaria, including the Consumer Protection Act and the Obligations and Contracts Act. Any disputes shall first be addressed amicably between the parties, and failing resolution, shall be subject to the jurisdiction of the competent Bulgarian courts.

1.4 Playbox Courts reserves the right to update these Terms at any time. Material changes will be communicated by email to registered users at least 14 days before taking effect. Continued use of the platform or facility after the effective date constitutes acceptance.

1.5 If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.


2. Eligibility and User Accounts

2.1 Adult users (18+). Any individual aged 18 or over may register an account and book the facility.

2.2 Minors aged 16 and 17. Individuals aged 16 or 17 may register an account and book the facility independently only if a parent or legal guardian has provided prior written consent (by email to info@playboxcourts.com or through the platform). The parent or legal guardian remains jointly and severally liable for the minor's compliance with these Terms and for any damages caused by the minor.

2.3 Children under 16. Individuals under 16 may use the facility only when accompanied on court by a parent, legal guardian, or a responsible adult acting with the parent's consent, who assumes full responsibility for the child's conduct and safety.

2.4 Account details. Each user must provide accurate, complete, and up-to-date information when registering. Accounts are personal and non-transferable. Users are responsible for keeping their login credentials and access codes confidential.

2.5 Account misuse. Sharing login credentials or access codes with any third party is strictly prohibited and will result in immediate and permanent account suspension. The account holder remains fully liable for any use made of their account or access code, including use by others.


3. Membership Types

Playbox Courts operates a membership system. Each membership type is assigned by the platform and determines booking permissions, available hours, pricing, and cancellation conditions. Membership types are assigned and managed by Playbox Courts administrators.

3.1 Drop-In (Guest)

Assigned automatically to all newly registered users.

  • Booking window: Bookings can only be made at least 6 hours in advance from the current time. Same-hour bookings are not permitted.
  • Available hours: Limited to a specific operating window as displayed in the platform.
  • Cancellation: More than 6 hours before the session — refund to E-Wallet. 6 hours or less — no refund.

Why the 6-hour booking restriction exists: As a fully self-service facility with no permanent on-site staff, this rule ensures that every new registration is reviewed by the administration team, who may verify the registration remotely or via the surveillance system before the first visit. This is a security measure to protect the facility and other users.

3.2 Loyal Member

Assigned manually by a Playbox Courts administrator, typically after a user's first verified visit.

  • Booking window: Instant booking, subject to court availability.
  • Available hours: Extended operating hours as displayed in the platform.
  • Cancellation: More than 6 hours before the session — refund to E-Wallet. 6 hours or less — no refund.

3.3 Instructor

Assigned manually by a Playbox Courts administrator to certified tennis trainers and fitness instructors.

  • Booking window: Instant booking, subject to availability.
  • Pricing: Discounted rates as displayed in the platform.
  • Cancellation: More than 2 hours before the session — refund to E-Wallet. 2 hours or less — no refund.

Note: Instructor status does not grant the right to conduct commercial coaching activities on the premises. Any commercial coaching on Playbox Courts premises requires prior written authorisation from Playbox Courts (see Section 5.10).

3.4 Family and Friends

Assigned manually by a Playbox Courts administrator to individuals with a close personal or family connection to existing members or to the club.

  • Booking window: Instant booking, subject to availability.
  • Pricing: Discounted rates as displayed in the platform.
  • Cancellation: More than 2 hours before the session — refund to E-Wallet. 2 hours or less — no refund.

3.5 Additional Packages and Subscriptions

Additional session packages and subscription plans may be offered from time to time. The specific terms, booking rules, and cancellation conditions for each package or subscription will be described in the platform at the time of purchase and form part of these Terms.


4. Payments and Refunds

4.1 Accepted Payment Methods

All payments are made online through the booking platform:

  • Credit or debit card — processed securely by Stripe. Card data is handled by Stripe in accordance with their security and data-protection policies. Receipts are issued automatically by Stripe to the user's registered email address.
  • E-Wallet — prepaid credit balance stored in the user's Playbox Courts account.

Onsite payments and cash payments are not accepted. All transactions must be completed through the platform before the session begins.

4.2 E-Wallet

  • E-Wallet credits are non-refundable as cash.
  • Credits can only be used for bookings at Playbox Courts facilities.
  • Users may top up the E-Wallet via card payment through the platform.
  • Playbox Courts administrators may add promotional credits on the occasion of promotional events, marketing campaigns, loyalty rewards, or partnerships. Promotional credits may carry an expiry date, which will be clearly displayed in the user's account at the time of crediting.

4.3 Cancellation and Refund Policy

Refunds are always issued to the user's E-Wallet. Refunds to the original payment method are not available under any circumstances.

Cancellations must be made through the platform. Cancellation requests made by phone or email are not accepted.

4.4 Consumer Right of Withdrawal (Bulgarian Consumer Protection Act)

In accordance with Bulgarian law, the right of withdrawal within 14 days does not apply to services related to leisure activities that are to be provided on a specific date or during a specific period (art. 57 of the Consumer Protection Act). By completing a booking, the user expressly agrees that the service will be performed on the reserved date, and waives the 14-day right of withdrawal from that specific booking. This does not affect the cancellation rights set out in Section 4.3.

4.5 Facility Failure

In the event of a technical failure or facility issue attributable to Playbox Courts that prevents the user from accessing or using the booked court, the full booking amount will be refunded to the user's E-Wallet. Where the user prefers, and at Playbox Courts' reasonable discretion, the booking may instead be rescheduled to an equivalent slot at no additional charge.


5. Court and Facility Rules

5.1 Pre-Session Inspection

Upon arrival, the user must inspect the court and equipment before beginning their session. Any defect, damage, or unsafe condition must be reported immediately via the platform messaging system, email, or phone (see 5.6) before using the equipment. A user who begins their session without reporting a pre-existing issue is presumed to have accepted the condition of the facility at the start of that session.

5.2 Footwear

Clean, non-marking indoor sports shoes are required at all times on the court. Outdoor shoes, sandals, high heels, and shoes with marking or dirty soles are strictly prohibited. This rule protects both the court surface and user safety.

5.3 Use of the Ball Machine and Equipment

The ball machine and all court equipment must be operated strictly according to the instructions provided on the court tablet and in the onboarding materials. Equipment must not be modified, forced, struck, or used beyond its intended purpose. Users who are unsure how to operate the equipment must contact Playbox Courts before use.

5.4 Ball Collection and End-of-Session

At the end of every session, the user must:

  • Collect all balls from the court and return them to the ball machine;
  • Leave the ball machine in its default resting position;
  • Leave the court, changing room, and all common areas in the same condition as they found them;
  • Dispose of rubbish in the bins provided.

5.5 Rental Equipment

Rackets and other equipment may be available for rent. Rented equipment is to be used only for its intended purpose during the booked session and returned immediately at the end of the session. The user is responsible for the full replacement cost of any rented item that is lost, stolen, or damaged beyond fair wear and tear during their session.

5.6 Reporting Damage and Faults

Any damage, fault, or malfunction discovered before or during a session must be reported immediately via:

Users must not attempt to repair or adjust damaged equipment themselves. Failure to report known damage may result in the user being held liable for that damage.

5.7 Intentional or Negligent Damage

Customers are obliged to report any damage to equipment or facilities to +359 89 389 0633.

All damages or losses caused by a Customer to equipment on the premises (appliances, fixtures, or any other inventory) as a result of misuse, improper use, carelessness, or negligence shall be paid for by the respective Customer.

In the event the Customer refuses to pay for the damaged property, the dispute shall be settled in accordance with the rules of the Obligations and Contracts Act (ЗЗД) and the Criminal Code (НК) of the Republic of Bulgaria.

5.8 Accompanying Persons and Visitors

The person who made the booking is the "account holder" and must be present throughout the session. A reasonable number of accompanying persons (typically up to 2) may join the account holder on court, provided they are also playing or directly supporting the session. The account holder is fully responsible for the conduct, safety, and compliance with these Terms of any accompanying person, and jointly and severally liable for any damage they may cause.

5.9 Music and Noise

Users may play music during their session. If another court is simultaneously occupied, music may only be played at a volume agreed upon with the users on the other court. Music audible from adjacent courts without the agreement of those users is not permitted.

5.10 Commercial Activity

Any commercial activity on the premises — including but not limited to paid coaching, personal training, lessons offered to third parties, commercial filming, or product promotion — is prohibited without prior written authorisation from Playbox Courts.

5.11 Prohibited Substances

Alcohol, illegal drugs, and tobacco products (including e-cigarettes and vapes) are strictly prohibited inside the facility at all times — including on the courts, in the changing rooms, and in all common areas. Users under the influence of alcohol or drugs will be denied access.

5.12 Personal Property

Playbox Courts accepts no responsibility for loss, theft, or damage to personal property brought into the facility. Users leave personal belongings at their own risk. Lost-and-found items will be kept for a maximum of 30 days, after which unclaimed items may be discarded or donated.

5.13 Photography and Video

Users may take photos and videos of their own session. Photographing or filming other users, staff, or third parties without their explicit consent is prohibited. Any content published online that features the Playbox Courts facility must not misrepresent the brand or defame the club.


6. Health, Safety and Assumption of Risk

6.1 Acknowledgment of Risk

The user acknowledges that tennis and physical training involve inherent risks, including but not limited to: muscle strain, sprains, fractures, falls and slips, impact from tennis balls, impact with the ball machine or court structures, heart and cardiovascular events, heat exhaustion, and aggravation of pre-existing medical conditions. The user accepts these risks voluntarily as an inseparable part of the activity.

6.2 Health Declaration

By booking and using the facility, the user confirms that: (a) they are in sufficient physical and mental condition to engage in tennis and physical training; (b) they have consulted a physician if they have any medical condition that could be affected by physical activity, including but not limited to cardiovascular, respiratory, musculoskeletal, neurological, or pregnancy-related conditions; (c) they are not under the influence of alcohol, drugs, or medication that impairs their physical or mental capacity.

6.3 Self-Service Facility

The user understands and acknowledges that Playbox Courts is a self-service facility with no permanent on-site staff. The user is responsible for:

  • assessing their own fitness and abilities before and during each session;
  • warming up properly;
  • stopping immediately if they feel unwell, dizzy, or in pain;
  • calling 112 in case of medical emergency;
  • leaving the court safely.

A first-aid kit is available on the premises. Contact details for Playbox Courts are posted on site.

6.4 Assumption of Risk and Waiver of Liability

To the maximum extent permitted by Bulgarian law, the user participates in all activities at Playbox Courts entirely at their own risk. Playbox Courts shall not be liable for any personal injury, death, illness, or aggravation of a pre-existing condition suffered by the user or their accompanying persons during or as a result of the use of the facility, except where such injury, death, or illness is caused directly by the gross negligence or wilful misconduct of Playbox Courts.

Nothing in this clause limits or excludes any liability that cannot be limited or excluded under Bulgarian law.

6.5 Emergency Procedures

In the event of an emergency, users must:

  1. Call 112 immediately;
  2. Use the first-aid kit if appropriate;
  3. Notify Playbox Courts as soon as possible at info@playboxcourts.com or +359 89 389 0633.

7. Access and Booking Rules

7.1 Access to the facility is valid only during the reserved time slot. The facility's lighting is activated automatically 5 minutes before the booking starts and deactivates 5 minutes after the booking ends.

7.2 The access code is personal, confidential, and non-transferable. Sharing the code with third parties is a serious violation (see Section 2.5).

7.3 Arrival more than 15 minutes after the start of the booking may result in the session being cancelled without refund, at Playbox Courts' discretion, particularly where a subsequent booking exists.

7.4 The user must leave the facility promptly at the end of the booked time to allow the next user to access the court.

7.5 All entries and exits are logged by the access system and may be used for dispute resolution, security, and billing verification.


8. Video Surveillance

8.1 Playbox Courts facilities are monitored by CCTV cameras for the safety and security of all users and to protect the facility and equipment. Camera presence is indicated by signage displayed at the facility entrance.

8.2 Recordings are stored securely for a period of 30 days, after which they are automatically deleted unless required for an ongoing investigation, dispute, insurance claim, or legal proceeding.

8.3 Footage may be accessed by Playbox Courts management and shared with law enforcement authorities where required by law or in connection with an incident, damage claim, or dispute.

8.4 CCTV data is processed in accordance with the General Data Protection Regulation (GDPR, EU 2016/679) and applicable Bulgarian law, on the legal basis of the legitimate interests of Playbox Courts in protecting persons and property.

8.5 By entering the facility, users acknowledge and accept the presence of CCTV monitoring.


9. Violations, Penalties and Account Suspension

9.1 Playbox Courts reserves the right to apply the following penalties for violations of these Terms:

9.2 Decisions on penalties are made by Playbox Courts management. The user will be notified at the email address associated with their account.

9.3 The user may appeal a penalty by contacting info@playboxcourts.com within 14 days of notification. Playbox Courts will review and respond within 7 business days.

9.4 Account suspension or termination does not entitle the user to a refund of any remaining E-Wallet balance, unless the suspension was found to be applied in error following a successful appeal.

9.5 Serious incidents (physical damage, violence, theft) will be reported to the competent authorities.


10. Personal Data and Privacy

10.1 Playbox Courts collects and processes personal data (name, email, phone number, booking history, payment information, access logs) for the purpose of providing the booking and facility access service, and on the legal bases of contract performance and legitimate interest.

10.2 Payment card data is handled entirely by Stripe (a third-party PCI-DSS-compliant processor) and is not stored by Playbox Courts directly.

10.3 Personal data is not sold. It is shared with third parties only where required by law, necessary to provide the service (e.g. payment processor, IT service providers), or with the user's consent.

10.4 Users have the right to access, correct, restrict, or request deletion of their personal data, and the right to data portability, by contacting info@playboxcourts.com. Users also have the right to lodge a complaint with the Commission for Personal Data Protection.

10.5 Account data is retained for 2 years following the last account activity, after which it is securely deleted unless legal obligations (e.g. tax records) require longer retention.

10.6 CCTV footage retention is described in Section 8.


11. Limitation of Liability

11.1 To the maximum extent permitted by Bulgarian law, Playbox Courts' total liability to any user in connection with a specific booking or incident is limited to the value of that booking. Playbox Courts is not liable for indirect, consequential, incidental, or punitive losses.

11.2 Playbox Courts does not guarantee uninterrupted availability of the facility or the platform. Planned maintenance will be communicated in advance where possible; unplanned outages will be addressed as set out in Section 4.5.

11.3 Nothing in these Terms excludes or limits liability for death or personal injury caused by gross negligence or wilful misconduct, or any other liability that cannot be excluded or limited under Bulgarian law.


12. Force Majeure

12.1 Playbox Courts is not liable for any failure or delay in performance caused by events beyond its reasonable control, including but not limited to: natural disasters, fire, flood, severe weather, power outages, internet or payment-system failures, epidemics, pandemics, governmental measures, strikes, or acts of war or terrorism. In such cases, affected bookings will be refunded to the E-Wallet or rescheduled.


13. Intellectual Property

13.1 All content on playboxcourts.com and in Playbox Courts marketing materials — including the Playbox Courts name, logos, text, images, and videos — is the property of Playbox Courts OOD or its licensors and is protected by copyright and trademark law. Use of this content without prior written permission is prohibited.


14. Acceptance

By creating an account, completing a booking on playboxcourts.com, or entering the facility, you confirm that you have read, understood, and agree to these Terms and Conditions in full.
